Approvals

Approvals are used within organizations to formally validate or authorize decisions, documents, or transactions. This process can be managed manually or through automated systems. In business, approvals ensure that actions meet organizational standards, policies, and regulations.

In Microsoft Teams, the Approvals app lets you create and manage approval requests.


1. Add the Approvals App

  1. Open Microsoft Teams and go to the Apps section (left sidebar or "More added apps" ellipsis)
  2. Search for Approvals in the search bar
  3. Click the Approvals app and install it if not already available in your Teams environment

2. Create a New Approval Request

  1. Navigate to the Approvals app in Teams (Apps section or pinned on the left sidebar)
  2. Click New approval request to start creating your approval

3. Fill Out the Approval Form

  1. Enter the name of your approval in the Name field — make it descriptive enough for the approver to understand quickly
  2. Add detailed information or instructions in the Details section
  3. Attach files if necessary: Attach → select files from your computer or Teams files

4. Choose Approvers

  1. Add the name(s) of the person(s) you need approvals from in the Approvers field (multiple approvers allowed)
  2. Set whether all approvers must approve ("And" logic) or any one approval is sufficient ("Or" logic)

5. Customize Options (if needed)

Add custom responses if you need more than the standard approve/reject options. This is useful for workflows that require more specific feedback.


6. Send the Approval Request

  1. Click Send to submit the approval request to the selected approvers
  2. Approvers receive a notification in their Teams activity feed and can review the request directly within Teams
